Position Summary
The Document Control Specialist safeguards the accuracy and accessibility of project records. This role manages parcel files, version control, and document workflows so that every agreement, report, and deliverable stays organized and audit-ready.
Key Responsibilities
- Maintain centralized parcel files, contracts, and supporting documentation.
- Apply naming conventions, version control, and retention standards across project records.
- Process incoming and outgoing documents, confirming completeness and accuracy.
- Track signatures, approvals, and execution status for acquisition agreements.
- Support audits and client reviews by retrieving and organizing requested records.
- Work with agents and coordinators to close documentation gaps.
- Generate status reports on document completeness by parcel and project.
- Protect confidential landowner and client information per company policy.
Required Qualifications
- Two or more years in document control, records management, or administrative support.
- Strong accuracy and attention to detail with high-volume records.
- Proficiency with Microsoft Office and document management systems.
- Organized approach to file structure and version tracking.
- Discretion when handling confidential information.
Preferred Qualifications
- Experience with ROW, land, legal, or construction documentation.
- Familiarity with electronic document management platforms.
- Understanding of title, easement, or contract documents.
- Bilingual ability is a plus.
Work Environment
Office or hybrid role centered on digital records systems, with limited travel.
